San Mateo County Health's
Correctional Health Services Division is seeking well qualified individuals for the position of
Medical Office Specialist Supervisor. With the guidance of the Administrative Services Manager, this position provides day-to-day supervision and operational leadership to Medical Office Assistants and Lead Medical Office Assistants, overseeing medical office support activities across assigned outpatient and patient care support functions to ensure efficient, compliant and high-quality operations.
There is currently
one vacancy in the Correctional Health Division. The position is
based in Redwood City and requires travel between the Maguire and Maple Street Correctional Facilities and the Youth Services Center in San Mateo, as needed.
The
ideal candidate will bring:
- Experience working in a correctional health or custodial environment.
- Demonstrated supervisory experience, including hiring, training, performance evaluation, coaching employees, addressing performance concerns and supporting corrective actions in accordance with County policies.
- Strong knowledge of medical office operations, including patient and staff scheduling, medical records, and HIPPA compliance.
- Experience with quality assurance and performance improvement to ensure compliance with healthcare laws, regulations, and standards.
- Proven ability to develop, implement, and maintain office policies and procedures that improve efficiency and effectiveness.
- Proficiency with Microsoft Outlook, Excel, Word, PowerPoint, SharePoint, and Epic.
- Excellent verbal and written communication skills to support a multi-disciplinary team of supervisors, nurses, and managers.

Examples Of Duties
Duties may include, but are not limited to, the following: - Supervise, plan, schedule and assign the work of medical office support staff across one or more functional areas including medical clinic, forensic mental health, medical records and other administrative support units.
- Participate in the hiring of assigned staff, onboarding, training and ongoing development of assigned staff; evaluate performance, provide coaching, and recommend appropriate personnel actions.
- Develop, recommend and implement office policies, procedures, forms and work processes to improve efficiency, accuracy and service delivery.
- Provide administrative and operational support to management staff, including budget input, expenditure monitoring and unit goal setting.
- Conduct special projects; research, compile and analyze information from multiple sources; prepare periodic or special reports
- Serve as a resource to County staff and the public by interpreting and applying policies, procedures and regulations requiring judgment and discretion.
- Coordinate administrative functions such as records maintenance, ordering supplies, equipment repair, space allocation and facility support; operate standard office equipment and information systems.
- Perform complex, technical, or specialized medical office support functions related to the area of assignment.
- Provide off hours' support as required and perform related duties as assigned.
Qualifications
Security Clearance: Positions in Correctional Health require that the applicant obtain and maintain a security clearance as a condition of employment.
Education and Experience: Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is:
- Four years of experience providing office support in a medical or clinic setting.
Knowledge of: - Supervisory principles and practices, including work planning, scheduling, review and evaluation and employee training and corrective action.
- Medical office management practices and procedures, including records management and the operation of standard office equipment.
- Policies, procedures and medical terminology related to the medical treatment or screening areas to which assigned.
- Applicable laws, ordinances, rules and regulations.
- Office administrative practices and procedures, including records management and the operation of standard office equipment.
- Business arithmetic, including percentages and decimals.
- Correct English usage, including spelling, grammar and punctuation.
- Business data processing principles and the use of word processing or personal computing equipment.
Skill/Ability to: - Plan, assign, supervise, review and evaluate the work of others.
- Train others in work procedures.
- Organize and prioritize work, meet critical time deadlines and follow up on assignments with minimum supervision.
- Read, interpret and apply rules, policies and procedures.
- Organize, research and maintain patient and general files.
- Perform and coordinate administrative support projects independently or with brief instructions.
- Use initiative and sound independent judgment within established guidelines.
- Establish and maintain effective working relationships with those contacted in the course of the work.
- Analyze and resolve office administrative problems.
- Operate standard office equipment, including a word processor, computer terminal and centralized telephone equipment.

Departmental Promotional Only. Only current County of San Mateo employees in
San Mateo County Health with at least six months (1040 hours) of continuous service in a classified regular, probationary, or extra-help/limited term position prior to the final filing date may apply.
The examination process will consist of an application screening (weight: pass/fail) based on the candidates' application and responses to the supplemental questions. Candidates who pass the application screening will be invited to a panel interview (weight: 100%). Depending on the number of applicants, an application appraisal of education and experience may be used in place of other examinations or further evaluation of work experience may be conducted to group applicants by level of qualification. All applicants who meet the minimum qualifications are not guaranteed advancement through any subsequent phase of the examination. All examinations will be given in the County of San Mateo, California and applicants must participate at their own expense.
