Major Duties

PLEASE NOTE: The position will be filled at either the Student Services Professional SSP IA , SSP IB, or SSP II level, dependent upon the applicant's qualifications:

SSP IA: Under the direct supervision of the Assistant Registrar for Undergraduate Degree Services, the Graduation Advisor Trainee supports students in completing their degree requirements and progressing toward graduation. The trainee will be trained to perform degree audits, evaluate academic records, and ensure compliance with CSUN and CSU graduation policies.

• Advise students on progression toward degree, including: degree requirements; substitution and waiver options; appeal processes, and alternative course options.
• Conduct proactive outreach and guide students who are not meeting graduation requirements.
• Evaluate and confer baccalaureate degrees.
• Review and encode course substitution or waiver recommendations from academic departments.
• Performs other duties as assigned.

SSP IB: Under the general supervision of the Assistant Registrar of Undergraduate Degree Services, the Graduation Advisor is responsible for advising students on progression toward degree completion, evaluating and conferring baccalaureate degrees, reviewing course substitutions and waivers, and performing related academic record analysis to ensure compliance with institutional and CSU policies and procedures.

• Advise a caseload of students on progression toward degree, including: degree requirements; substitution and waiver options; appeal processes, and alternative course options.
• Conduct proactive outreach and provide guidance to students who are not meeting graduation requirements.
• Evaluate and confer baccalaureate degrees.
• Interpret and apply a wide variety of complex policies & procedures relating to evaluations and degree conferral.
• Review and encode course substitution or waiver recommendations from academic departments.
• Performs other duties as assigned.

SSP II : Under the general supervision of the Assistant Registrar of Undergraduate Degree Services, the Graduation Advisor independently advises students, evaluates and confers degrees, reviews course substitutions and waivers, and ensures compliance with institutional and CSU policies. This role requires detailed record analysis, policy interpretation, and collaboration with academic departments to support timely student graduation.

• Independently advise a caseload of students on progression toward degree, including: degree requirements; substitution and waiver options; appeal processes, and alternative course options.
• Conduct proactive outreach and guide students who are not meeting graduation requirements.
• Evaluate and confer baccalaureate degrees for caseload students.
• Review and encode course substitution or waiver recommendations from academic departments for caseload students.
• Collaborate with faculty and campus advising staff regarding course substitutions and waivers for students who do not yet meet degree requirements.
• Performs other duties as assigned.

Qualifications

• SSP IA:
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field.
  • No experience required.
• SSP IB:
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or a job-related field.
  • Equivalent to one year of experience in professional Student Services work at the entry trainee level.
  • A Master's degree in a job-related field may be substituted for the required experience.
• SSP II:
  • Equivalent to graduation from a four-year college or university in a job-related field.
  • Equivalent to two years of professional experience in one of the student services program areas or in a related field.
  • A Master’s degree in a job-related field may be substituted for one year of the professional experience.
  • Additional specialized and relevant experience may be substituted for the required education on a year-for-year basis.

Knowledge, Skills, & Abilities

• SSP IA:

• • Demonstrates foundational understanding of undergraduate degree requirements, academic policies, and procedures related to graduation. Ability to learn and apply advising practices that support student success, including identifying academic barriers, interpreting degree progress, and recommending appropriate course or program options.
  • Ability to engage effectively with a diverse student population through proactive outreach and individualized support. Demonstrates skill in active listening, providing clear and accurate guidance, and referring students to appropriate campus resources that promote their educational, social, and academic development.
  • Ability to accurately review, interpret, and analyze student academic records to determine eligibility for graduation. Demonstrates skill in applying degree requirements, institutional policies, and Title V regulations to ensure compliance and maintain the integrity of academic evaluations.
  • Possesses strong attention to detail and the ability to learn and apply a wide variety of complex university and CSU procedures related to degree evaluation and conferral. Demonstrates accuracy and consistency when reviewing coursework, units, and graduation documentation.

• SSP IB:
  • Thorough knowledge of undergraduate degree requirements, substitution and waiver processes, and appeal procedures. Ability to interpret and apply complex university and Title V academic policies to individual student cases. Skilled in providing accurate, developmentally appropriate guidance to students regarding course planning and degree completion pathways.
  • Ability to identify and engage students who are not meeting graduation requirements through proactive outreach and intervention. Strong interpersonal and communication skills to advise diverse student populations effectively. Ability to assess individual academic, social, and developmental needs and refer students to appropriate campus resources and support services.
  • Comprehensive knowledge of academic record auditing, degree evaluation, and conferral procedures. Ability to interpret and apply a wide variety of complex institutional, CSU, and Title V policies to ensure accurate and timely awarding of degrees. Skilled in analyzing student academic histories and identifying discrepancies or exceptions requiring resolution.
  • Ability to review, encode, and process course substitutions and waivers in coordination with faculty, academic departments, and advising staff. Strong analytical and decision-making skills to ensure recommendations align with established academic and institutional policies. Demonstrated ability to maintain accuracy and consistency while managing multiple cases and program petitions, including Post-Graduate Credential and Master’s program requests.
• SSP II:
  • Thorough knowledge of university academic policies, degree requirements, and graduation procedures, with the ability to interpret and apply complex regulations to individual student cases. Skill in advising diverse student populations on academic progress, course selection, and petition or appeal processes to ensure timely degree completion.
  • Ability to conduct proactive outreach and provide clear, empathetic, and solution-focused guidance to students who are not meeting graduation requirements. Demonstrated ability to assess student needs, refer appropriately to campus support resources, and foster student development through effective communication and advising strategies.
  • Comprehensive knowledge of degree audit processes, graduation requirements, and academic record evaluation. Skill in interpreting and applying a wide range of complex institutional and CSU policies to ensure accurate and timely degree conferral while maintaining compliance with academic standards and regulations.
  • Ability to review, encode, and process course substitutions, waivers, and petitions in alignment with university and program policies. Demonstrated ability to collaborate effectively with faculty, advisors, and departmental staff to resolve complex academic issues and support equitable student degree completion.

Pay, Benefits, & Work Schedule

• Classification: Student Services Professional IA, IB, or II / 3079/1 or 2 or 3082/1
• The anticipated HIRING RATE for the SSP IA is $4150 per month. The salary range for this classification is: $4150 - $5076 per month.
• The anticipated HIRING RATE for the SSP IB is $4482 per month. The salary range for this classification is: $4482 - $6342 per month.
• The anticipated HIRING RATE for the SSP II is $5083 per month. The salary range for this classification is: $5083 - $7228 per month.
• HOURS: Full Time; 40 hours per week; Monday through Friday; may include evenings and weekends.
• The SSP IA is a temporary position. Based on satisfactory progress and successful completion of the training program, the incumbent will be progressively promoted from SSP IA to the probationary SSP IB position.
• The SSP IB is a regular position with a one-year probationary period, and is not automatically promoted to the SSP II; promotion is dependent upon departmental needs at the time.
• The SSP II is a regular position with a one-year probationary period.
• The position is currently hybrid (3 days in office, 2 days remote); however, this is subject to change based on student and/or operational needs.
