A Sr. Administrative Assistant position is available with the City of Fort Worth Mayor and Council Office. The Mayor and Council Office is a fast-paced environment and is an integral part of the City of Fort Worth. The ideal candidate will provide high-level administrative support to the Mayor and Council Office. This position is responsible for overseeing and supporting a wide variety of complex administrative and fiscal tasks that support office and district operations including overseeing human resources, and special project activities. The ability to provide exceptional customer service and being outcome oriented is necessary. Work in a customer focused, diverse, and team-oriented work environment. The ideal candidate will be a self-starter, able to take initiative over work tasks, be highly organized, detail oriented, analytical thinker, possess strong communication skills, and be able to adapt quickly to changing situations.
Minimum Qualifications: - Bachelor's degree from an accredited college or university with major course work in public administration, business administration, human resources, or related field.
- Three (3) years of increasingly responsible administrative and fiscal management experience in support of a department, division, or major service area.
- One (1) year in a supervisory or lead capacity.
- Valid Driver's License.
Preferred Qualifications: - Familiar with the Fair Labor Standards Act.
- Familiar with Generally Accepted Accounting Principles
- Financial management system experience, preferably PeopleSoft.
- Budgeting software experience
- Experience working for a municipal or local government entity.
- Experience with record keeping and tracking
The Sr. Administrative Assistant job responsibilities include: - Leads Human Resources Coordinator duties. Reviews Mayor and Council Office timesheets for correctness. Runs queries and ability to identify payroll exceptions and process corrections.
- Provides other Human Resources administrative support to daily operations, including a variety of clerical and work processing duties.
- Provides new hire onboarding and internal orientation.
- Leads Medical Records Coordinator duties. Works closely with City Human Resources divisions. Safeguarding employee medical records and ensuring compliance with HIPAA standards and the city's policies and procedures.
- Participates in departmental meetings; informs, assists in preparing the annual operating budget to include backup information to support the budget.
- Monitors expenditures as needed; ensure adherence to department budgets.
- Research and analyze the accuracy of expenditures.
- Monitors and maintains departmental contracts.
- Respond to requests for information from councilmembers, supervisory staff, employees, and external customers in a timely manner.
- Work with little to no supervision at times and perform other duties as assigned.
