Description
The Family Support Division (FSD) is seeking a motivated individual to serve as a Lead Administrative Support Assistant in Jefferson City located at 615 Howerton Ct, Jefferson City, MO. This position will support Child Support (CS) policy and systems units. This executive-level administrative professional position will use specialized support service functions to assist divisional leadership with priority activities, primary those directly involving the FSD Director and central office.
The person in this position must possess excellent written & interpersonal communication skills, a mindfulness regarding data stewardship, and an earnest ambition to help Missourians to secure & sustain healthy, safe & productive lives.
This is senior-level administrative work involving a high degree of independent judgment, decisions and action. Duties include, but are not limited to:
- Use a variety of computer applications, such as Microsoft Word and Excel, to create, edit, and format documents, often containing technical or specialized terminology.
- Review documents for accuracy, completeness and compliance.
- Compose correspondence involving some interpretation and application of established policies and procedures; maintaining correspondence, case and report files.
- Establish and maintain complex digital filing systems; prepare and/or oversee the preparation of records for storage and/or archiving.
- Facilitating travel arrangements and overseeing the creation of materials for conferences, retreats, and other significant events.
- Managing calendars, coordinating resources, and likewise guiding agency programs and leaders to successfully carry out daily tasks and organizational initiatives.
- Performing intermediary tasks as a divisional representative for specific business processes, expense reporting, and State Printing Center requisitions.
- Researching, resolving, and following up on outstanding issues, and compiling pertinent information into streamline reports, spreadsheets, and databases.
- Assist staff with scheduling and coordination for meetings, to include, in-person meetings, videoconferences, trainings, and other events.
- Supervise and/or participate in the preparation of standardized reports; assist in the preparation of complex ad hoc reports.
- Maintain fiscal records requiring limited knowledge of governmental accounting methods in accordance with established procedures.
- Obtain quotations and bids for commodities, equipment and services; initiation or supervises, with defined limits, the processing of requisitions and purchase orders.
- Pursuing a comprehensive knowledge and ability to serve as a resource regarding critical administrative and program-based systems and software relevant to the agency.
- Developing the awareness of divisional operations, policies, and procedures necessary to be independently mindful of FSD’s general and program-specific interest and priorities.
One or more years of clerical support experience as an Administrative Support Assistant with the Missouri Uniform Classification and pay system; and possession of a high school diploma or GED certificate.
OR Four or more years of office or related clerical experience including one year at the advanced clerical level (comparable to Senior Office Support Assistant) or two years above the entry level (comparable to Office Support Assistant); and possession of a high school diploma or GED certificate.
Training from an accredited vocation or business school in Office Management, Secretarial Science, or a closely related area may substitute on a year-for-year bases for the required experience at a rate of 30 earned credit hours, or 49=80 clock hours, for one year.
(Earned credit hours from an accredited college or university may substitute on a year-for-year basis for the required experience at a rate of 30 earned credit hours for one year.)
