Position DescriptionPerforms coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.
Major/Essential FunctionsFinancial Management and Budget Oversight
- Responsibilities:
- Prepare and manage the annual operating budget for the Collaborative Care and Fellowship programs.
- Monitor program expenditures and reconcile against budget forecasts monthly.
- Analyze and report on revenue streams from clinical services, grants, and other funding sources.
- Process and track purchase orders, invoices, and reimbursements in alignment with institutional policies.
- Monitor faculty and fellow productivity and financial performance metric
- Financial Reporting and Compliance
- Responsibilities:
- Prepare quarterly and annual financial reports for departmental leadership and institutional review.
- Support external and internal audit processes by providing requested financial data and analysis.
- Ensure adherence to institutional accounting standards and applicable regulatory requirements.
- Revenue Cycle Support
- Responsibilities:
- Collaborate with billing and coding teams to monitor revenue capture from mental health and integrated care services.
- Identify areas for improvement in charge capture and reimbursement processes.
- Track accounts receivable trends and escalate discrepancies as needed.

- Operational Support
- Responsibilities:
- Assist with foundation/grant budget preparation and post-award financial management for fellowship or program grants.
- Maintain accurate financial records, documentation, and budget files.
- Develop financial dashboards and tools for program leadership to support strategic planning and decision-making.
- Team Collaboration and Communication
- Responsibilities:
- Act as a liaison between the program and departmental finance teams.
- Provide financial training or orientation for new program staff as needed.
- Participate in leadership meetings to provide budget updates and financial insights.
- Performance Metrics:
- Attend 95% of scheduled leadership and finance meetings.
- New staff financial orientation completed within first month of hire, 100% compliance.
- Receive 85% satisfaction score from program leadership on clarity and effectiveness of budget presentations and updates (via annual feedback).
Required QualificationsBachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.
