What you’ll do:

This is a second-level administrative support position that performs a variety of clerical, printing, and onboarding tasks in support of the Human Resources Department.

Examples of work:

• Maintain, with relative independence, a significant phase or segment of a clerical process or office activity and makes frequent decisions in accordance with agency policies, rules, or procedures.

• Types, utilizing a computer keyboard and word processing software, and edits a variety of material, frequently involving technical or specialized terminology; transcribes from dictating equipment.

• Organizes and coordinates work flow; establishes priorities and deadlines; reviews work for accuracy, timeliness, and conformance with procedures and processes.

• Maintain fiscal records requiring limited knowledge of governmental accounting methods in accordance with established procedures; codes and records transactions to prescribed accounts.

• Participates in the preparation of standardized reports; assists in the preparation of complex reports.

• Reviews documents for accuracy, completeness, and compliance.

• Composes correspondence involving some interpretation and application of established policies and procedures; maintains correspondence and report files.

• Maintains complex filing systems; prepares and/or oversees the preparation of records for storage and/or archiving.

• Prepares and/or supervises the processing of purchase and supply requisitions, personnel and/or payroll records, and time and leave records.

• Performs, reviews, and verifies complex computations involving the application of rules and regulations.

• Enters, updates, and/or retrieves information in automated systems; develops spreadsheets and databases; utilizes various software packages in the performance of duties.

• Carries out assigned responsibilities with considerable independence and makes decisions concerning work procedures and processes; however, an administrative supervisor reviews significant departures from established policies or procedures.

Additional Specific Duties Include:

• Develops and maintains the organizational charts for the facility.

• Assists with filing, file prep, scanning and storage.

• Implements and tracks the Sick Leave Incentive program.

• Implements and tracks time earned/used in conjunction with the Inclement Weather policy.

• Troubleshoot and maintains time clocks.

• Develop training materials and train all users on the time clock system.

• Participate in the development and deployment of MOVERS/TCP as requested.

• Research and explain any pay amount/leave accumulations/leave use/compensatory bucket discrepancies to effected staff.

• Generate and review all audit trails to ensure accuracy of paychecks.

• Track and maintain records for overtime use to ensure compliance with policy.

• Track PRN hour use to ensure compliance with state statute.

• Enter all CPERS/PPERS in SAM II, research, and correct rejections.

• Fill clinical and administration orders for badges appropriate to any pass privilege changes to consumers.

• Maintain Badge Pass entries and supplies.

• Maintain all staff demographic information.

• Track FMLA and Work Compensation hours for Employee Health reports and compliance.

• Maintain accuracy and supply of current New Employee Onboarding Policy book.

• Track statistics related to the application of Administrative Leave hours for Governing Body reports.

• Performs other related work as assigned.

Knowledge, skills & abilities:

• Comprehensive knowledge of office practices, procedures, and equipment.

• Comprehensive knowledge of business math computations, grammar, composition, and spelling.

• Intermediate knowledge of computer information systems and software.

• Introductory knowledge of the principles of office management and supervision.

• Skill in the use of a keyboard.

• Ability to apply and interpret agency policies and procedures.

• Ability to prepare and maintain complex records and reports.

• Ability to develop and use coding and filing systems.

• Ability to review documents for accuracy and completeness.

• Ability to establish and maintain effective working relationships with co-workers and the public.

• Ability to make complex computations.

• Ability to assign, review and evaluate the work of staff.

• Ability to complete assignments accurately within specified timeframes.

• Ability to train and mentor staff.

• Ability to develop and implement procedures from general instructions.

Experience and Educations Requirements:

• One (1) to Three (3) years of relevant experience

• High School diploma or GED
