The City of Kingman is located in Mohave County approximately 100 miles southeast of Las Vegas and 195 miles northwest of Phoenix nestled between the beautiful Cerbat and Hualapai Mountain Ranges along historic Route 66. GENERAL DESCRIPTION OF POSITION

Performs technical and legal administrative work of some complexity in the support of city legal proceedings. Work requires specialized knowledge of legal procedures, principles, terminology, and forms. Incumbent is responsible for performing varied legal clerical and administrative work which involves considerable contact with the public, various departments and agencies; filing and reporting of case information from public and law enforcement agencies in accordance with policies; maintaining confidential records; disseminating information to the public and/or law enforcement agencies. Incumbent also exercises a high degree of independence and thoroughness and accuracy in performing secretarial duties and administrative details within established time constraints.

SUPERVISION RECEIVED

Work is performed independently under general supervision of the Administrative Supervisor and/or City Attorney. Work is reviewed through conferences and review of legal correspondence.

Necessary Knowledge, Skills and Abilities:

Knowledge: Thorough knowledge of legal secretarial and administrative practices and procedures; Considerable knowledge of applicable State and Federal rules and regulations, including rules of evidence; Principles and protocols for the management of official documents and court records; Legal system and law enforcement agency procedures and terminology; Legal research methods, techniques, sources, and databases; Legal case management procedures, ethics and techniques; Business communications and report preparation particularly related to legal terminology, principles, procedures and forms in performance of legal secretarial work; Legal procedures and practices involved in composing, processing and filing a variety of legal documents; Standard legal references and their content; Legal terms, legal forms, methods and procedures; Word processing and related modern office equipment;English spelling, grammar and punctuation; Principles and procedures of recordkeeping and reporting.

Skills: Skill in maintaining department records management; Proofreading materials; Reviewing own work for accuracy; Maintaining confidentiality of victim information obtained, processed and prepared; Operating listed tools and equipment; Troubleshooting problems; Maintaining and handling applicable equipment; Working in a team environment; Providing customer service; Utilizing a computer and relevant software applications; Demonstrating proficiency to prepare documents, spreadsheets, databases, email and timesheets; Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.

Abilities: Ability to establish and maintain effective and accurate records and filing systems; Manage attorney calendars; Conduct legal research; Gather data and prepare reports and summaries of findings; Follow written and oral instructions; Carry out assigned projects to their completion and perform multi-tasks with numerous interruptions; Communicate effectively verbally and in writing; Work requires the ability to write memoranda, legal correspondence and documentation, reports and produce written documents with clearly organized thoughts using proper English sentence construction, punctuation, and grammar; Interpret rules, regulations, and policies and apply knowledge; Maintain confidentiality of information; Deal effectively and courteously with elected officials, court officers, legal counsel, witnesses, the general public and other contacted in the course of work. Adapt to changing work priorities; Perform basic mathematical calculations; Work independently and to complete daily activities; Handle multiple projects simultaneously, meeting changing deadlines and use good judgment in prioritizing work assignments; Participate in teamwork productively; Use equipment and tools properly and safely; Represents the City Attorney’s Office in a highly professional manner.

SPECIAL REQUIREMENTS

Valid Arizona Driver’s License or ability to obtain one within six months of hire.
