Position Summary

This position assists the County Clerk in performing statutory and elective duties including administering the functions of the County Clerk's office. This includes elections, issuing marriage licenses, working with the County Board and various committees, maintaining county records, and providing courteous and efficient customer services to County residents.

Essential Functions

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive.To perform this job successfully, an individual must be able to perform each duty satisfactorily.Other duties may be required and assigned.
Provides customer service to internal and external customers; greets, receives and screens visitors and customers; addresses and resolves customer questions as able and refers complex inquiries, requests, or complaints to appropriate staff. Sorts, copies, and distributes a variety of correspondence, deliveries, and mail; opens, logs, and routes office mail; retrieves, delivers, and sends faxes.Composes routine correspondence; proofreads and edits documents; enters, scans, updates, and maintains information in spreadsheets, databases, and reports.Maintains electronic and paper filing and record systems to provide easy access to records and information; provides retention of records as required.Under the direction of the Clerk, administers various election responsibilities including managing the WisVote Voter System at the county level, generating system reports, absentee ballot tracking, maintaining contact with municipal clerks, reviewing media notices and ballot information for accuracy, assisting with election training, assists with recounts, oversees election supplies and supply inventory. Issues marriage licenses and domestic partnerships to eligible applicants based on review of required documentation. Assists with Dog Licensing, including maintaining dog license records, monitoring Dog License Fund, processing dog damage claims.Provides Administrative Support to the County Board of Supervisors. Certifies copies of resolutions and ordinances, dockets and maintains files, reviews and edits County Board minutes; attends meetings and takes meeting minutes as requested, assemble documents and prepare meeting room for County Board sessions. Receives county committee meeting notices, agendas and minutes; analyzes for time sensitivity; submits to media; maintains files; may attend various committee meetings and prepares agendas and minutes.Assists with updating and maintaining county webpages assigned to the County Clerk’s office, etc. Enters data for County Board and Committee Meeting Per Diem and Mileage Reimbursement and prepares reports to submit to the Finance Department; contacts County Board Supervisors with reimbursement request questions; contacts County Board Chair to authorize requests.Receives, receipts, reconciles and deposits County monies daily, and answer inquiries from various departments.Collects and receipts monies for the payment of programs and services and credits to their proper accounts. Submits deposits to the Treasurer’s office.Performs daily care of copy room equipment, orders supplies, computes counts and costs, and maintains account records of copy billings.Performs the duties of the County Clerk during an absence.Other duties as assigned.
