Fleet Administrative Specialist II
Description
OverviewThe Fleet Services department is hiring an Administrative Assistant!
In this role, you will provide support by coordinating meetings and events, offering excellent customer service, and assisting employees with system support. You'll also prepare documents and folders for new equipment, maintain and update databases, and organize essential files.
This position will be working with staff in our fleet shop in Loveland. The typical schedule is 7:00 AM - 3:30 PM Monday - Friday.
ResponsibilitiesWhat you'll be doing:
- Coordinating and managing ownership folders and databases for Fleet Assets.
- Handling DMV title work and managing fuel card ordering for fleet vehicles.
- Entering invoices into the accounting system.
- Generating and distributing maintenance reports, and working with customers to schedule vehicle maintenance.
- Maintaining up-to-date records in all relevant databases.
- Tracking and reviewing employee timesheets to ensure accuracy.
- Monitoring key dates and communicating updates through written and verbal channels.
- Attending meetings and taking detailed notes and minutes.

What we're looking for:
- Strong ability to enter and maintain data in computer systems or databases.
- Clear and effective written communication with different groups.
- A focus on continuous process improvement.
- Ability to set and adjust appointments, calendars, and work schedules for light-duty vehicles.
- Excellent customer service skills, with the ability to answer questions and direct complex issues to the appropriate person.
- Strong organizational skills and the ability to complete tasks efficiently as part of workflows.
- Consistent and predictable attendance.

- Must be at least 18 years of age.
- Two (2) years of experience of experience in a directly related field
