Position will end on or before September 25, 2027. Permanent status cannot be earned in this grant funded position. This Temporary appointment can be concluded prior to the stated temporary appointment end date, normally with a two-week notice period. Continuation of this temporary appointment is contingent upon grant funding.

Anticipated Hiring Range

$5,274.00 - $5,380.00 per month ($63,288.00 - $64,560.00 annually)

Salary is commensurate with experience.

Position Summary

Under the general direction of the Executive Director, the College Corps Coordinator is responsible for coordinating the day-to-day implementation and administration of the California College Corps program within the Institute for Civic & Community Engagement (ICCE) at San Francisco State University. The Coordinator supports all aspects of program administration, including participant recruitment and engagement, community partnership development, grant compliance, fiscal administration and financial tracking, communications, events, assessment, and program evaluation to ensure the successful implementation of a complex state and federally funded initiative.

Working collaboratively with other College Corps Coordinators, the incumbent manages an assigned portfolio of Fellows and community partners while serving as a cross-trained member of the College Corps team. The Coordinator exercises independent judgment in planning, organizing, implementing, and evaluating program activities; interpreting and applying university, CSU, California Volunteers, AmeriCorps, and grant policies; coordinating multiple projects simultaneously; and developing solutions to operational and programmatic challenges.

As a member of the ICCE team, the Coordinator builds and maintains collaborative relationships with Fellows, faculty, staff, community partners, and external stakeholders to advance civic engagement, experiential learning, community university partnerships, and student learning and success. The position represents both ICCE and the College Corps program through campus engagement, community outreach, recruitment, partnership development, presentations, university events, and support for institute-wide initiatives while fostering an inclusive, supportive, and student centered environment that promotes leadership development, civic engagement, professional growth, and belonging.

Position Information

Program Coordination and Participant Engagement
  • Coordinate all phases of the Fellow participation lifecycle, including recruitment, outreach, application review, interviews, selection, onboarding, placement, participation, completion, and exit processes.
  • Coordinate an assigned portfolio of Fellows and serve as the primary program contact regarding program requirements, policies, deadlines, resources, and participation expectations.
  • Monitor Fellow participation, service hours, attendance, eligibility, and completion of required program milestones to ensure compliance with university, California Volunteers, AmeriCorps, and grant requirements.
  • Review participation records and identify discrepancies, concerns, or barriers that may affect successful program participation. Coordinate appropriate follow-up and communicate issues to the Executive Director, as appropriate.
  • Design, coordinate, and facilitate orientations, Team Circles, professional development workshops, leadership development activities, reflection sessions, and other educational programming that advance civic learning, career readiness, and experiential learning outcomes.
  • Develop and distribute timely communications regarding program requirements, deadlines, training opportunities, events, resources, and other program updates.
  • Coordinate experiential learning opportunities and educational programming that promote leadership development, civic engagement, professional skill development, career readiness, and meaningful community service.
  • Coordinate Fellow participation in outreach activities, campus events, conferences, service projects, and other opportunities that enhance engagement with the College Corps program and the broader university community.
  • Coordinate Fellow recognition activities, program completion requirements, graduation celebrations, and program closeout processes.
  • Maintain accurate participant records and documentation in accordance with university, California Volunteers, AmeriCorps, and grant requirements.

Community Partnership Development and Engagement
  • Serve as the primary relationship manager for an assigned portfolio of community partner organizations throughout the academic year.
  • Recruit, onboard, and support community partners in accordance with program goals and grant requirements.
  • Coordinate partnership agreements, position descriptions, onboarding requirements, and placement processes.
  • Conduct regular site visits and maintain ongoing communication with Fellowship Supervisors.
  • Provide technical assistance regarding program policies, student supervision, compliance expectations, and best practices.
  • Coordinate evaluations, partner feedback, and continuous improvement efforts.
  • Build collaborative relationships that strengthen community partnerships and enhance student learning experiences.
  • Coordinate assigned ICCE initiatives, including community-based service programs, food security initiatives, volunteer engagement activities, and other institute priorities that expand experiential learning opportunities and strengthen community partnerships.

Program Administration, Compliance, and Fiscal Operations
  • Coordinate administrative operations necessary for successful implementation of the College Corps program.
  • Interpret and apply university, CSU, California Volunteers, AmeriCorps, and grant policies to ensure compliance.
  • Coordinate participant enrollment, eligibility verification, National Service Criminal History Check (NSCHC), Live Scan, MyAmeriCorps enrollment, America Learns, and required program documentation. Collaborate with the Financial Aid Office, University Police Department (UPD), and other campus partners to support participant eligibility determination, background check verification, and compliance with university, California Volunteers, and AmeriCorps requirements.
  • Maintain America Learns and other program databases to ensure accurate participant records, reporting, documentation, and compliance tracking.
  • Review, reconcile, and monitor Fellow service hours, participation records, and supporting documentation to ensure accuracy, completeness, and compliance with program requirements.
  • Monitor and track Fellow living allowance eligibility, education award eligibility, and other participant benefit records to support accurate processing and compliance with university, California Volunteers, and AmeriCorps requirements.
  • Track and reconcile program expenditures, purchasing transactions, and fiscal records to support budget monitoring, grant reporting, and financial reconciliation.
  • Coordinate purchasing activities, procurement requests, vendor communications, reimbursements, P-Card reconciliation, and inventory management in accordance with university policies and procedures.
  • Prepare and maintain financial, procurement, and administrative documentation to support grant compliance, audits, reporting requirements, and fiscal review by the Executive Director.

Communications, Outreach, and Program Promotion
  • Develop and distribute communications to Fellows, community partners, campus stakeholders, and prospective applicants.
  • Coordinate recruitment campaigns using print, digital, and social media platforms.
  • Develop marketing materials, social media content, newsletters, presentations, webpages, graphics, photography, and other communication resources that promote the College Corps program.
  • Maintain program branding consistent with university and California Volunteers guidelines.
  • Represent ICCE and College Corps at campus events, recruitment fairs, conferences, presentations, and community outreach activities.

Assessment, Events, and Continuous Improvement
  • Coordinate planning and implementation of orientations, trainings, leadership programs, partner meetings, retreats, networking opportunities, recognition events, and special events.
  • Collect, analyze, and report program data to support assessment, grant reporting, and program evaluation.
  • Develop reports, surveys, dashboards, and recommendations that support continuous improvement.
  • Identify opportunities to improve operational efficiency, participant experience, and program effectiveness.
  • Participate in strategic planning and implementation of new initiatives.

Minimum Qualifications

General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Independent performance of varied or specialized administrative and analytical duties and/or service as a program administrator. Work is reviewed against goals and involves independently planning and performing research and participating in the development, alteration, implementation, and evaluation of the organizational unit's and/or program's policies and procedures.
  • Contribution to the completion of broader and more complex organizational or program projects and goals. Often provides project leadership or represents the work unit on key projects within and outside the organization.
  • Accountable for own work results which are reviewed for soundness of judgment.
  • Considerable judgment and discretion reflective of a thorough knowledge of a professional administrative specialty and/or program and/or policy areas need to be exercised. Policies and practices referenced for guidance.
  • Analyze and address problems using reasoning and the interpretation and application of theories and principles to develop and recommend alternatives and best courses of action.
  • Ingenuity in determining methods to achieve programmatic goals and develop and implement program policies required.
  • Work requires coordination with individuals at all levels within the organization. As needed, acts as a representative to outside entities.
  • As required, day-to-day program or work unit operations are overseen and lead work direction to administrative staff, including accountability for results, is provided.
  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.

Preferred Qualifications
  • Experience working with AmeriCorps, California College Corps, or other state, federal, or grant-funded service, civic engagement, or experiential learning programs.
  • Experience coordinating structured cohort-based programs, including participant recruitment, onboarding, training, engagement, and program completion.
  • Experience working collaboratively with community-based organizations, government agencies, schools, or other external partners to support community-engaged programs or student placements.
  • Experience representing an organization through community outreach, partnership development, presentations, or external stakeholder engagement.
  • Experience reviewing, approving, tracking, or maintaining participant records, attendance, service hours, or other program documentation using electronic data management systems.
  • Experience planning and facilitating orientations, trainings, workshops, meetings, or other educational programming.
  • Experience developing communications, presentations, outreach materials, or marketing content for diverse audiences.
  • Familiarity with higher education administration, grant compliance, experiential learning, civic engagement, student employment, or community-engaged program

Environmental/Physical/Special
  • Must be able to lift, carry, and move boxes of office supplies, outreach materials, displays, and event materials weighing up to 20 pounds.
  • Must be able to bend, stoop, lift, and move tables, chairs, displays, and equipment for ICCE and College Corps meetings, trainings, outreach activities, and special events.
  • Must be able to travel between campus and community partner locations, as needed, to support meetings, site visits, outreach, community engagement, and special events.
  • Occasional evening and/or weekend work may be required to support recruitment, outreach, trainings, community engagement, and program-related events on and off campus.
