Section: Records Management

REPORTING RELATIONSHIP:

Reports to : Records Program Manager, Clerk of the Board

Supervises the following positions : N/A

Review of personnel file, including but not limited: attendance history, disciplinary history, and performance evaluations

DEFINITION : Under general supervision, provides support for the District’s Records Management function ensuring that records are properly cataloged and that retention dates are consistent with policy; monitors and audits offsite records storage for compliance with retention policy; provides additional specialist support to management; and performs related work as required.

CLASS CHARACTERISTICS : This journey level classification is responsible for independently performing technical records management and support duties in support of the District’s Records Management program. Positions at this level exercise judgment and initiative in their assigned tasks, receive only occasional instruction or assistance as new or unusual situations arise and are fully aware of the operating procedures and policies of the work unit.

Minimum Qualifications

Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:

Education : Equivalent to a High School diploma, supplemented by specialized courses in records management, business administration, or a related field and at least 3 years of progressively responsible experience in developing and maintaining filing and records systems, preferably involving the operations of computer-based document management systems; or an equivalent combination of training and experience.

Experience : Three (3) years of progressively responsible experience supporting an administrative or document retention and management program.

Licenses and Certifications : Possession of a valid California Driver’s License, to be maintained throughout employment. Designation as a Certified Records Analyst (CRA) is required within twenty-four (24) months of appointment. All required licenses and certificates must be maintained throughout employment in this classification.
