Job DescriptionGENERAL DESCRIPTION The Office of the Attorney General, a dynamic state agency with over 4,000 employees throughout the State of Texas, is hiring a Legal Secretary for the Bankruptcy & Collections Division. The Bankruptcy & Collections Division is the centralized collection authority for the State, charged with the responsibility to recover all debts, judgments, taxes, fees, fines, penalties, loans, and other obligations referred to the agency for collection. Division attorneys represent and protect the State¿s monetary, regulatory, and policy interests in bankruptcy cases as they may appear.
The OAG seeks a qualified Legal Secretary to join the Student Loans Team which collects defaulted student loans on behalf of the Texas Higher Education Coordinating Board.

ESSENTIAL POSITION FUNCTIONSLegal Secretary I
- Prepares and proofreads legal and administrative documents, including but not limited to, correspondence, motions, pleadings, judgments, abstracts and exhibits and files them in Travis County District, County, or JP Courts;
- Performs general secretarial, administrative and clerical duties; Performs extensive data entry by updating several databases and account management systems;
- Responsibility for timely follow-up of cases; Monitors case status and ensures that all appropriate activities are performed. Develops, coordinates and maintains record keeping and filing systems
- Contacts court personnel to verify case status when necessary; Establishes and maintains effective working relationships with staff at Office of the Secretary of State, process servers, sheriff, constables and county clerk personnel as well as internal staff members.
- Performs related work as assigned
- Maintains relevant knowledge necessary to perform essential job functions
- Attends work regularly in compliance with agreed-upon work schedule
- Ensures security and confidentiality of sensitive and/or protected information
- Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Legal Secretary II ¿ all of the above functions for Legal Secretary I plus:
- Assists Attorneys and Investigators in conducting research and locating defendant addresses;
- Assists Attorney with drafting, preparing, reviewing, or editing legal documents.
MINIMUM QUALIFICATIONSLegal Secretary I:
- Education: Graduation from high school or equivalent
- Experience: One year full-time general administrative, clerical, or secretarial experience
- Skill in handling multiple tasks, prioritizing, and meeting deadlines
- Skill in effective oral and written communication
- Skill in exercising sound judgment and effective decision making
- Skill in using a computer for word-processing, spread sheets and data entry/retrieval
- Ability to be licensed as a notary public in the state of Texas
- Ability to receive and respond positively to constructive feedback
- Ability to work cooperatively with others in a professional office environment
- Ability to provide excellent customer service
- Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
- Ability to arrange for personal transportation for business-related travel
- Ability to work more than 40 hours as needed and in compliance with the FLSA
- Ability to lift and relocate 30 lbs.
- Ability to travel (including overnight travel) up to 5%
Legal Secretary II: all of the above qualifications for Legal Secretary I plus:
- Experience: At least one additional year of full-time experience as a Legal Secretary. Working knowledge of the practice of law resulting in the ability to work independently with minimal supervision
PREFERRED QUALIFICATIONS- Experience: Two years full-time general administrative, clerical or secretarial work; Skill in using Microsoft Word, Access and Excel
- Knowledge: Student loans and student loan collections
