Description

Under supervision (Administrative Aide) to general supervision (Administrative Assistant I/II) these classifications provide administrative services to departmental management (Administrative Assistant I/II) or administrative staff (Administrative Aide) within a County department.

These classifications are characterized by their responsibility to departmental management for the provision of a variety of staff administrative services. The functional difference between the levels of the Administrative Aide and Administrative Assistant I/II classifications relates to the complexity of the work regularly assigned and the size of the agency/department.

PAYROLL TITLES/APPROXIMATE SALARIES
Administrative Aide - $21.77 - $30.48 per hour
Administrative Assistant I - $27.12 - $37.94 per hour
Administrative Assistant II - $29.81- $41.81 per hour

NOTE: If appointed at the lower level, incumbent may be promoted to the higher level without further examination upon meeting the minimum requirements, demonstrating satisfactory performance, and in accordance with the business needs of the department.

Administrative Aide, Administrative Assistant I/II are represented by Service Employees International Union (SEIU) and are eligible for overtime compensation.

These are entrance requirements to the examination process and assure neither continuance in the process nor placement on an eligible list.

EDUCATION, TRAINING AND EXPERIENCE
Any combination of education and experience which would demonstrate possession of the knowledge and abilities.
Note: For some vacancies, specific knowledge, specialized education, and/or specialized experience may be required.

Administrative Aide - Possession of the requisite KSAs could typically be demonstrated by completion of an Associate's degree in a related field and/or one (1) year of increasingly responsible clerical or administrative support experience.

Administrative Assistant I : Possession of the requisite KSAs could typically be demonstrated by completion of an Associate's degree in a related field and/or one (1) to two (2) years of related experience.

Administrative Assistant II : Possession of the requisite KSAs could typically be demonstrated by completion of an Associate's degree in a related field and/or two (2) to three (3) years of related experience.

Additional related experience can be substituted for the education on a year-for-year basis.
Depending on assignment, supervisory experience may be highly desirable.

NECESSSARY SPECIAL REQUIREMENT

Work is primarily performed in an office environment but may be required to visit various departments/agencies on a regular basis and meet off-site with business/community leaders, the public, and outside contractors.

SUPPLEMENTAL QUESTIONNAIRE - qualifying: All applicants are required to complete and submit the questionnaire for this exam at the time of filing. The supplemental questionnaire may be used throughout the exam process to assist in determining each applicant's qualifications and acceptability for the position. Failure to complete and submit the questionnaire may result in the application being removed from consideration.

APPLICATION EVALUATION - qualifying: All applications will be reviewed to determine whether or not the stated requirements are met. Those individuals meeting the stated requirements will be invited to continue to the next step in the screening and selection process.
WRITTEN EXAMINATION - 100%: An un-proctored, on-line, internet-based job-related written examination will be administered to test candidates' knowledge of English Usage, Reading Comprehension, Customer Service, Clerical Methods and Practices, and Mathematics for successful performance on the job. Examinees must earn a score of seventy percent (70%) or higher to qualify for placement on the eligible list.
Candidates successfully completing the examination process may be placed on an eligible list for a period of one (1) year. The eligible list established from this recruitment may be used to fill present and future Regular, Temporary, Fixed-term, Intermittent, and Extra Help vacancies for various agencies/departments throughout the County.
